These Confidentiality Guidelines ("Guidelines") illustrate how VAC Travel Co., Ltd (collectively addressed as "VAC Travel”, "us", or "our" in this document) secures the privacy of your personal info. VAC Travel needs to gather, use, and reveal private details for executing our business operations and activities, such as travel bookings for our clients.
We are deeply dedicated to safeguarding the privacy and confidentiality of private details and to upholding different physical, digital, and procedural safekeeping measures to defend private details in our custody. By offering personal information to us (either directly or letting another person do this on your behalf), you consent to these Guidelines being applied to our handling of your personal information and you consent to us gathering, using, and revealing your private details as detailed in these Guidelines.
If you disagree with any part of these Guidelines, you must not provide your private info to us. If you do not provide us with your private details, or if you withdraw the consent that you have given under these Guidelines, this might affect our capacity to provide services to you or negatively impact the services we can offer to you. For instance, Travel bookings (Airfares, Hotels, and accommodations) must be arranged under the traveler's complete name and must include contact details and specific identification (e.g. passport details). We cannot make reservations for you without this info.
'Personal information' here refers to the definition provided under your local data protection laws. Usually, it means any info that pertains to a living individual who can be recognized from that info, or from that detail and other information in a person's possession. This may include an opinion or any details about an identified or reasonably identifiable individual and any certain intentions regarding an individual.
Generally speaking, the type of personal details we gather about you are the details that are required to simplify your travel preparations and bookings. For instance, we might gather details like your name, residence/mailing address, phone number, email, credit/debit card info, passport info, loyalty program/frequent flyer info, and health and dietary requirements (if any).
Whenever you contact us for other purposes, we may also gather personal information about you in connection to those objectives. For instance, in a competition setting, we might gather your details to communicate with you. We also collect info needed for specific business activities involving VAC Travel and related entities.
In some cases, we may gather personal information from you, which may be seen as classified info under your local data protection laws. Classified info may include racial or ethnic origin, philosophical or religious beliefs, membership in political, professional, or trade associations, biometric and genetic info, passwords, financial info, and health info.
When we reserve travel-related services for you, we generally act as the representative for travel service providers. It's typical for us to gather personal details about you for our internal use, as outlined in this policy. This includes processing your reservation, as well as for the travel service provider we represent to serve their internal goals (like ensuring you receive your reserved services). As a representative, all your travel bookings are subject to the rules, including privacy guidelines, of the travel service providers for whom we work. We will provide copies of all relevant travel service provider rules, policies, and privacy guidelines upon your request.
Thus, you are presumed to agree to our collection, usage, and disclosure of your private details to applicable travel service providers, as well as their usage and disclosure of your private details for the goals outlined in this policy. This also includes other purposes specified in their privacy policies, as allowed by your local data protection rules. For instance, should you reserve a hotel through us, under this policy, you grant us permission to collect your details and share them with the accommodation provider to enable your hotel to be booked, as well as for the provider to render the service to you.
We represent numerous travel service providers globally, therefore we can't detail all the service providers we work with or their locations within this policy. When you reach out to us about a travel booking or inquiry, our main goal in gathering your personal info is generally to give you travel advice and/or help you book travel and/or travel-related products and services. However, this goal can vary based on the specific circumstances outlined in this policy.
By continuously using our services and/or providing us with your personal info (or allowing someone else to do so for you), you're consenting to us using and sharing your personal info for the purpose for which it was collected, and for any related secondary purpose where permitted by your local data protection laws. These purposes might include using your personal information to ensure the services and tools you choose to use, identifying fraud or error, regulatory reporting, and compliance, improving our products and services, developing and maintaining a customer profile to improve our service, involving you in market research, gauging customer satisfaction, and seeking feedback about the service we provided, helping you participate in loyalty programs, doing research and analysis about our business and services, internal accounting and administration, complying with legal obligations related to your travel, and any purpose authorized or required by law.

In certain circumstances and adhering to local privacy laws, we might share your private data with other organizations. The act of using our services, or providing your personal data to us, shows your acceptance of this data being utilized, shared, or possibly transferred by us. This is typically for the purpose it was gathered for and any connected reasons that we think you would likely deem acceptable. When we use the term "share" here, it means we might transfer, relay, or make your personal data usable or known to a different individual or agency.
Third-party groups your data could be shared with are our business partners, and contracted help, including those listed in the part titled "What do we do with your personal data?"; companies providing digital solutions that aid us in offering you our services and goods (like any third-party data storage services we use); publishers, marketing teams, research groups, communicators and creators of promotional materials; organizing bodies for events; mailing services, delivery companies, courier businesses; and external firm advisors (like lawyers, accountants, recruitment advisors, etc); associated entities and brands; travel providers including tour companies, airlines, hotels, car hire companies, transfer carriers, and other related service providers.
In situations where you ask us to arrange flights for you, we will give your personal data (e.g. name, email, phone number) to the relevant airline. This allows the airline to inform passengers directly about any changes in flight details (e.g. flight cancellations, schedule amendments). In potential acquisition cases, your data may be given to the potential buyer. If someone else is making your travel booking for you (such as a friend, family member, or work colleague), your employer (if you are traveling for work), or someone who can verify a relationship with you (e.g., a family member), this might also require sharing your data. We might also need to share your personal data to adhere to the law, customs, and immigration requirements, respond to legal court orders or if we suspect illegal activities have taken place.

Apart from the cases stated above, we won’t share your personal data without asking you first, unless we reasonably believe that doing so could prevent a serious threat to personal or public health and safety or for specific action to be taken by a law enforcement body (for instance, preventing, detecting, investigating, legal prosecution or punishment of criminal activities), or when such sharing is granted or legally required (including applicable privacy/data protection laws).
Your personal data could be shared with certain international recipients, in line with local privacy laws. There is a chance that information will be transferred to an international recipient who is located in a jurisdiction where you would not have any legal recourse under your local privacy laws and that does not have the same level of data protection as in your jurisdiction. As long as your local privacy laws allow it, we are not liable for how overseas recipients handle and store your data. By providing your personal data to us so that we can arrange travel-related products and services for you, you show your acceptance of our sharing of your personal data with these overseas recipients.
(a) Our related entities overseas: VAC Travel has a worldwide business, with operations in Vietnam, Cambodia, Laos, and Thailand. There may be cases when your personal data may need to be shared with our overseas related entities to facilitate your travel booking and/or to enable administrative, advisory, and technical services, including processing and storing such information.
(b) Travel service providers located overseas: We might have to share your personal data with relevant travel service providers who operate internationally, to be able to offer our services to you. The relevant travel service providers will generally handle your personal data in the country where the services provided to you are based, or where their business or headquarters is located.
(c) Our third-party service providers located overseas: We may also share your personal data with third-party organizations operating overseas, who perform services for us, including processing and storing such information. Usually, your personal data is only shared with these overseas recipients to facilitate your travel booking and/or to enable administrative and technical services on our behalf. We engage with key service providers based in the Vietnam – Indochina region, as well as numerous service providers worldwide.
We may disclose your personal information to certain overseas recipients, as set out below, which we will do in accordance with your local data protection laws. Information may be transferred to an overseas recipient (other than any of our overseas related entities) located in a jurisdiction where you will not be able to seek redress under your local data protection laws and that does not have an equivalent level of data protection as in your jurisdiction. To the extent permitted by your local data protection laws, we will not be liable for how these overseas recipients handle, store, and process your personal information. By providing your personal information to us for the purpose of booking and otherwise arranging travel-related products and services for you, you consent to our disclosure of your personal information to these overseas recipients for that purpose.
(a) Our overseas-related entity VAC Travel operates a global business, including operations in Vietnam, Cambodia, Laos, and Thailand. Your personal information may be disclosed to our overseas related entities in connection with the facilitation of your travel booking and/or to enable the performance of administrative, advisory, and technical services, including the storage and processing of such information.
(b) Travel service providers located overseas In providing our services to you, it may be necessary for us to disclose personal information to relevant overseas travel service providers. We deal with many different travel service providers all over the world, so the location of a travel service provider relevant to your personal information will depend on the travel services being provided. The relevant travel service providers will in most cases receive your personal information in the country in which they will provide the services to you or in which their business or management is based. Please refer to the section above titled “When we act as agent; for more information about when we act as agents for travel service providers and their privacy practices and policies.
(c) Our third-party service providers located overseas We may also disclose your personal information to third parties located overseas to perform services for us, including the storage and processing of such information. Generally, we will only disclose your personal information to these overseas recipients in connection with the facilitation of your travel booking and/or to enable the performance of administrative and technical services by them on our behalf. We use key service providers located in Vietnam – Indochina region. We also deal with many different service providers all over the world, so we can't set out in this Policy all of the different countries to which we may send your personal information. VAC Travel has implemented various physical, electronic, and managerial security procedures to protect the personal information it holds from loss and misuse, and unauthorized access, modification, disclosure, and interference.
VAC Travel regularly reviews security technologies and will strive to protect your personal information as fully as we protect our own confidential information. VAC Travel is not responsible for any third party’s actions or their security controls concerning information that third parties may collect or process via their websites, services, or otherwise. We will destroy or de-identify personal information once we no longer require it for our business purposes, or as required by law.
You are entitled to access any personal information we may hold about you following your local data protection laws. Where personal information we hold about you is not accurate, complete, or up-to-date or the information is irrelevant or misleading, you may ask us to correct that personal information, and we will respond to your request within a reasonable time.
We reserve the right to confirm the identity of the person seeking access or correction to personal information before complying with such a request. We reserve the right to deny you access for any reason permitted under applicable law. If we deny access or correction, we will provide you with written reasons for such denial unless it is unreasonable to do so and, where required by local data protection laws, will note your request and the denial of the same in our records. You must always provide accurate information and you agree to update it whenever necessary. You also agree that, in the absence of any update, we can assume that the information submitted to us is correct unless we subsequently become aware that it is not correct.
Functions from social networking platforms, like in-app buttons, are available on our sites and phone apps. External companies like Facebook provide these options, that could be located on their online space or ours. When using such features, they could gather details like your current page on our site/app and your internet protocol (IP) address. It also may place cookies to help it work well. Information on your user behavior on our site/app may be linked to your social media account with them (if you're logged in). These external companies may know of your encounters with these features too.
We may also receive data from them such as your name, profile image, sex, friends list, and other details you've made public, following their rules. We could exchange data with these companies to provide you with personalized ads on their platforms. You can adjust your privacy settings on these platforms to manage the data shared and opt out of targeted ads. Our servers log data about your device and network, including your IP address when you browse our site, use our apps, or open our emails. An IP address is a numeric code assigned to your computer when you're online, helping to identify it. On its own, IP addresses don't reveal personal information, because many people could use one device or computer.
However, we might use IP addresses to manage our systems, investigate security matters, and compile non-personal data about the usage of our websites/apps.
